Required Qualifications:

  • College and/or High School Grade 12 graduate with one year of phone handling and/or customer service work experience in a busy work environment
  • Excellent English Communication Skills (oral and written)
  • Good working knowledge in computer software for Windows, such as Word, Excel & Power Point
  • Excellent organizational and interpersonal skills
  • Attention to details
  • Pleasant professional disposition

 Reception Duties:

  • Answer telephone calls in a professional manner and direct calls as required on a promptly basis
  • Screen incoming calls for appropriate personnel when directed by Management.
  • Greet visitors in a professional and hospitable manner, ensure the visitors sign in Log is complete and security procedures are being followed at all times
  • Prepare documentation and arrange for couriers as required for all Departments, track delivery status as needed
  • Sort and distribute all incoming mails and date stamp them.
  • Prepare outgoing mails for correct postage and ready for pickup by the mail person on a daily basis.
  • Order office supplies as required via our purchasing requisition system.
  • Ensure the front reception area stays clean, tidy and presentation as per our 5S requirements at all times
  • Ensure no unauthorized personnel are hanging around the reception area unnecessarily at all times, this includes our employees as well
  • Ensure the AODA (Accessibility Ontarians Disability Acts) is being followed at all times.
  • Support Finance, Human Resources, Health & Safety and other Admin duties as required.

General Human Resources, Health & Safety Duties:

  • Prepare outgoing manifest
  • Contribute to the continuous improvement, productivity, quality, customer service, cost reduction, safety and housekeeping
  • Any other duties as assigned by the Human Resources Manager

General Accounting Duties:

  • Voucher A/P invoices daily
  • File vouchered invoices daily
  • Match vouchered invoices to cheques twice monthly
  • Mail cheques as required
  • File A/P cheque copies once a week
  • File Xeeva packing slips once a week
  • Match OEMs (customer) resale steel packing slips to invoices daily
  • Match Triple M bills of lading to statement once a month
  • Match garbage tickets to invoice once a month

 Working Conditions

  • 90% office, 10% plant floor (PPE required)

Effort/Physical Demands

  • Require communication with employees, peers and management
  • Lifting and pushing as needed

Health, Safety and Environmental Responsibilities

  • Must work in accordance with health and safety regulations, company rules, plant rules, policies and procedures
  • Must use or wear equipment, protective devices or certain clothing as required by the company.
  • All employees are prohibited from walking under a suspended hoist, cranes or forklifts.
  • All employees must follow all LOTO procedures
  • Comply with all environmental requirements including our recycling program
