Job Summary:
To accurately maintain and update employee profiles, hours, payments, etc. on a daily basis. Also to maintain accounts receivables by inputting and depositing cheques received by customers.
Knowledge and Skills (Education):
• Community College in Accounting or Business Administration preferred
• 2 - 3 years experience
• Working knowledgeof Microsoft Office (Word, Excel, Outlook, PowerPoint)
• Excellent English communication skills (oral and written)
• Strong organizational skills and procedural knowledge
- Knowledge of ADP and Kronos
Major Accountabilities:
• Maintain the ADP system for additions, changes or deletions to employee profiles of pay rates, bank accounts details, absentee codes, etc. and entry of miscellaneous items, ie, safety shoes, safety glasses
• Review and maintain ADP system settings and calculations
• Review the accuracy of payrolls returned from ADP; complete any records of employment (if applicable); and sort the payroll for distribution.
• Check absenteeism call-in-line for absentee information and report the information to Supervisors, Managers and the General Manager
• Generate and distribute the following reports; overtime, pay period ending payroll summary, payroll changes, attendance and any required reports as requested
• Responsible to reconcile and complete monthly cheque request forms for the following:, Garnishments, etc.
• Responsible to request ADP reports for the completion of government requirements
• Prepare bank deposits and complete data entry of cash receipts in CMS
• Coordinate the resolution of any selling price issues with Sales Coordinator as required
• Record all payroll cheques generated by Accounts Payable into ADP and reconciliation spread sheet
• Complete collection process of past due accounts receivable invoices
• Complete weekly payroll journal entry and export to CMS for posting
• Update weekly forecast spreadsheet with weekly payroll data
• Preparation of manual invoices to inter-company divisions of Martinrea
• Perform other duties as required
• Abide by all company polices including, but not limited to the following; Health and safety, Quality and Environmental Systems, Human resources policies, and Martinrea Employee Handbook
• Ensure compliance with all applicable codes, standards and legislation including Environmental Legislation, O. Reg 851 for Industrial Establishments, and the Occupational Health and Safety Act (with emphasis on Section 28, (1) (a)-(d), (2) (a)-(c)).
Working Conditions:
• 99% Office environment, 1% Plant Floor (PPE required)
Decision Making and Authority:
• On a functional level the following position will oversee the Payroll Administrator:
o Controller
• Authority of decisions:
o How to communicate to Supervisors/ Managers
o Prioritization of workload
o In absence of Supervisors/ Managers some judgement calls may be needed in regards to Payroll
• Recommendations:
o Changes to Payroll/ AR processes, procedures, forms and polices
o Improvements to Payroll systems
• Quantitative Measurements:
o Payroll of approximately 150 employees
